Getting Started with YaalaGo
YaalaGo was built on thousands of conversations with real travel agents. This guide walks you through the four things to do first — they take about 30 minutes and once you're through them, everything else starts to click.

ℹ️ Your dashboard will look empty — that's intentional Once you start putting your business into YaalaGo, the dashboard becomes the place you check every morning: upcoming trips, recently issued tickets that may have dropped in price, upcoming tasks, and more. Let's fill it up.
Set Up Your Vendors
Vendors are the consolidators, net-fare contracts, hotels, cruise lines, and any other suppliers you book through. Setting them up first means YaalaGo can calculate commissions correctly from the very first trip you enter.
Click the notification bell in the top-right corner, then select Action Required → Vendor Setup.
For each vendor, fill in:
Vendor name — e.g. Benish Travel
PCC(s) — the Pseudo City Codes you book under for this vendor, e.g. HG8L, 1FUA, 0TVJ
Ticket email — the address where tickets should be sent for this vendor
PCC time zone — important for same-day void windows (e.g. New York)
Void rule — choose Same Day or Next Day
Click Submit
💡 Need to add multiple vendors? Click Add Vendor and use the Clone option to copy the original — most fields carry over and you only need to change the PCC and void rule.
Once vendors are saved, head to Commission Structure (available from the same Action Required panel). Set up your split for each vendor — for example, an 80/20 split with Benish. You can also configure:
Published vs. private fare difference — when you need to pay the difference between published and net fares
Other office fees — e.g. a $15 issuance fee charged by the vendor's PCC
Your own PCC issuance fee — e.g. $5 per ticket in your own PCC
✅ Once saved, every time you enter a trip you'll be prompted to select which vendor and commission structure applies — no manual math required. Remember to set up commission structures for each agent on your team too.
Learn the Shortcuts Panel
The Shortcuts panel (left sidebar) is where your daily time-saves live. It has three tools that most agents use every single day.
✈️ Prep Traveler
Paste in a client's raw information — date of birth, email, frequent flyer numbers, even a messy unformatted list — and YaalaGo cleans and structures it. Set the gender, click Calculate to check ages against a target date, then hit Convert & Copy to get a perfectly formatted string ready to paste directly into Sabre or Amadeus.
Click Save to CRM to store the traveler permanently. You can add Tags to group families or businesses together. The next time you book for that traveler, click Long Sell — it displays their info with frequent flyer selection, then puts the result on your clipboard (Sabre or Amadeus format).
You can also add a passport directly to a traveler's record. Upload the passport image and YaalaGo's OCR (AI) will parse the passport number, country, and expiry date automatically. When saved, it will offer to set a reminder 6 months before expiry so you can alert the client before it's a problem.
🔄 Build Long Sell
Found a flight on Google Flights, Kayak, ITA Matrix, Sabre, or Amadeus? Paste the flight details into Build Long Sell and click Convert & Copy — you get the correct Long Sell command ready to drop into your GDS.
Works for both Sabre and Amadeus. You can also use it as a GDS translator: paste Amadeus segments, switch the output to Sabre format (using GK status), and get a Sabre-ready command — useful for cross-checking AMC and Sabre issuances.
Pro tip for ITA Matrix users: instead of copying the flight result directly, copy the JSON from the result page for a more accurate fare class. Paste that into Build Long Sell and click Convert to Long Sell — it will assign the exact fare class per segment rather than assuming the highest class in the cabin.
Bring In Your Real Clients
Test data only gets you so far. The real value of YaalaGo comes when your actual book of business is inside it. Start with the clients you're working with today and build from there.
📂 Have an existing client list? Reach out to the YaalaGo team — they can help you import and organize your existing client data directly into the platform.
As you add clients, take a moment to explore AI Booking (left sidebar). This tool lets you take any booking made outside of YaalaGo — an Expedia confirmation, a Delta.com email, a PDF itinerary — and bring it into YaalaGo perfectly structured. You can:
Paste the email confirmation text or upload the PDF
Attach it to a new trip or an existing trip
Add it to a new proposal or enrich an existing one
Similarly, if you have GDS segments you want to turn into a proposal, go to Proposal, paste in the raw segments, and YaalaGo will parse the details. You can then set the price, expiration date, and terms so the customer has everything they need.
💳 Set up your payment processor now — don't wait. Go to Settings and connect Stripe or USA ePay (which connects to Fidelity and many other processors). This unlocks client-facing payment collection directly through YaalaGo.
Review Your Agency Settings
Before you go live with real bookings, spend a few minutes in Settings → Agency to make sure your defaults are right. Key things to check:
Terms & Conditions — your standard T&Cs that appear on receipts and proposals
Default bag weights — so trip entries auto-fill with your standard policy
Date format — MM/DD/YYYY vs DD/MM/YYYY depending on your market
Invoice defaults — due date rules, reminder email settings
Send Flight Reminder Emails — configure whether reminders go to the agency only, or to agency and clients
⚡ Enable Sabre Sync while you're here In the Settings → Agency page, click Edit next to your agency, go to the Settings tab, and click Request Access under Bot GDS Access. Select your PCCs to connect YaalaGo directly to Sabre — so bookings mirror over automatically without any manual copy-paste.

Use the Built-In Knowledge Base
In the bottom-right corner of every page, there's a small coin/question-mark icon. Click it to open YaalaGo's AI-powered knowledge base chatbot. Ask it anything — how to import a PNR, how to set up a proposal, how commissions work — and it will answer from the full YaalaGo documentation.
